Call to order at 8:05PM

Call to order- Introductions were made. Welcome to the Bainbridge Island representative and to Courtney Brown from Bellevue Boys and Girls Club. Courtney will be taking over for Bob when he retires the end of Oct.
Minutes of the last meeting (August 23, 2005 - attached) – please review and let John know of any changes.
Review
· Reminder that all WSP forms, Code of Conducts should have been turned in by now.
· Boys and Girls Club fees are past due. There are a handful of Systems that have not turned them in yet. John will contact the systems that haven’t paid.
· Referee/field use fees are due tonight. There are a handful of systems that have not turned them in yet. John will contact the systems that haven’t paid, please mail them to John. His address is after his signature on his emails. GEJFA keeps track on paper of all games that are played on your home field that are not between your team and another team. Sometimes your field is needed by two systems that are not your own. You are to pay for the field and then you will be credited back by the systems that used your field.
· First Aid – This is left up to the systems to police. It should be noted on the roster who is your first aid person for each team. John has a copy of the folks who were at the coaching/first aid clinic that was sponsored by GEJFA if needed.
· Jamboree Format – may discuss more in the off season. Need to limit the sessions per level to two hours maximum time. This does not include weigh in time.
Roster review
· Make corrections, provide missing B/Cs, - need to get the rosters stamped by Courtney at the Boys and Girls Club by the end of the day Friday the 16th. It is a good idea to call a head and let him know that you will be coming in. His contact phone number is 206-818-3992; he is generally there until 7 pm. – If there is a team that you play that does not have a stamped roster, please mark it on your game report but it is not to be made a major issue. Play the game and it will be taken care of by John at a later time. Make sure your coaches have a copy of the stamped roster.
· Split policies – all of the split policies should be turned into John. If he does not have one for your system, he will be contacting you.
· Final Master Roster is due on or before September 17th; get stamped at Club – again, please note on the game report if you play against a team without a stamped Master Roster.
· Post Season Games (other than playoffs)
§ Game 9 automatic – Please let your coaches know now that they need to plan on this game. Everyone will have a game 9. Billie needs to know who has a field available for Game 9. Please let him know ASAP.
§ Game 10 is to be arranged between teams and provide field – find your opponent and then a field and let Billie and John know so they can arrange refs/times for your game. .
Equipment
· Detachable cleats- These are not allowed. There was some discussion about our GEJFA Rules vs the High School Rules. There was no motion to change the GEJFA Rule which prohibits detachable cleats. Our rules will stand. No detachable cleats will be allowed.
· Tinted glasses/shields – must be clear and not tinted. They will be asked to remove them if they are tinted. Sunglasses are ok, the refs will be notified.
· Jewelry and wristbands – No jewelry of any kind will be allowed. This includes those plastic bracelets like the Lance Armstrong yellow ones. All jewelry needs to be removed.
· Mouth Guards – need to attach to helmet. Next year they will also need to be colored and not clear. Shawn is checking on the orthodontic ones to see if they meet the guidelines.
· Bandanas are not allowed to be worn. There was some discussion that the helmet manufacturers may not honor liability insurance if bandanas are worn and there is an injury.
Participation rules
· Substitution Rule – please follow the substitution rule and ensure that your coaches know the rule and the reason behind it.
· Discipline rules - ALL discipline needs to be approved by your System Director. This is a GEJFA rule. For example….Johnny didn’t show up to one practice, this is a suspension of ¼ of the game. If a player is a no show for two practices ½ game will be missed, no practice all week no play in the game. The policy needs to be told to the kids ahead of time. This is partly to avoid abuse by coaches that think it is ok to punish the players that are not very good players and then they can play the good ones. Please treat the children fairly.
Web site updates
· Field locations – all systems are on line now including Bainbridge.
· Schedule – all schedules are posted except for seniors. They are waiting for confirmation from the outside systems that they are playing. They need to verify the times of the games that they are hosting. They should be posted soon. All teams are aware of this weeks schedule including seniors. Some game times may change due to the Senior schedule.
Game Reports and Game Scores
· Game scores are reported by Game Report – must be submitted Saturday night or Sunday morning. Takes about 2-5 minutes….have coaches fill out a practice one to ensure that they know how to fill it out. If there is a need for more than 255 characters to enter comments, please have them send a separate email to their system head.
· Each team is to submit Game Report ASAP (Saturday night/Sunday morning).
· Iif there are issues (complaints, ejections, protests, etc), please notify John by end of day Sunday.
· System should review and amend reports by Monday
· Chris Garrod will get only the Game Reports on which there are reported issues.
· Major issues (ejections, protests) need to be reported to John on Sunday followed with details by Tuesday
· Varsity is the only team that has a bye this first week and that game will be Skyline White vs. Skyview. The game counts for Skyview whether they win or lose but does not count for Skyline (bye).
Officials
· More PNFOA, but still have plenty of youth.
· Trying to schedule 3 officials for Rookies and Cubs, adding 4th to the upper levels; but may see 4 at all games – looks like most games including Rookies and Cubs will have 4 refs; the reason is the young guys need training and this is a good venue for training. The crews will be together all season. On the website is the referee information, there is a schedule where the crews will be all season a head of time so you can look up to see which refs you will have. Don’t forget to get the officials names on a sheet of paper prior to the game. This is your coaches responsibility.
Sportsmanship
· ZERO TOLERANCE !!! – What the official says goes. They will issue a warning and then a flag. Let’s not have any issues this year.
· Championship video- John Holmes will be at a meeting in October. He wants to go over how to make the video better. Some ideas are sponsors to help pay some of the cost, having all players have to purchase a video, dropping the VHS and only offering DVD. He is asking for $2100 again for the base price.
Other Business
· Seahawks – John has secured a game Oct 16th. Mt Si and Newport. Mt Si to come up with the level in the next couple of days and get it to John.
· Seahawks Stadium – Oct 2nd scrimmage Tacoma Boys and Girls Club fund raiser. Shawn needs more teams at every level to participate. All players and coaches are free; parents are $5 per adult. It is a lot of fun. There’s a bunch of things set up for the kids to do there as well. There will be no Seahawks that we are aware of; they have an away game that day.
· Schedule – N = Non Conference Games – do not count. Email billiehartline@hotmail.com with any questions.
· RULES – X helmet – If a player has an X on his/her helmet on Soph, JV or Varsity that player must play between the tackles. They can’t punt/kick extra point. Kick off is ok.
· Bainbridge travel information. You can take a car over on early ferry or drive around so that kids can walk on the ferry and then be shuttled to field (about 5 minutes). There really should be no trouble getting there on the ferry.
· Parking at Newport will be tough. There is construction going on.
· Woodinville’s field may not be ready for games. There is a sink hole in their field. John will check with Woodinville and get an update, may need to secure a Junior High field for Sat. games.
· Mt Si High School now ready for games.
