Call to order at 8:05PM

Minutes of the last meeting, August 15.  We know there are some errors and they will be corrected before posting to the web site, please comment to John if you see things that need changing.

 

Web site updates- make sure your System website is updated – Field Locations – All field locations are ok, checking on Bainbridge.

 

Calendar review (upcoming important dates)

·         Overdue -- WSP forms, Code of Conducts – turn them in right away if you haven’t already done so, they are past due. This is for everyone’s protection.

·         Due at this meeting:

       Master roster and birth certificates (transfers and waivers)-Please hand them to John if Bob is not available.  Things have been lost when dropping them off at the Boys and Girls Club.  Master Rosters need to be turned in and stamped by the second game of the season.

       Boys and Girls Club fees ($13)- proposal to raise the fees by $5 per player.  This will be discussed in the off season.  We may need to look at other options.

·         September 6th

Ø      Referee/field use and Admin fees at due at the September 6 Council meeting.  If not submitted at this meeting, them mail them to John – address on bottom of many of his emails. 

 

Insurance - proposal to raise the fees by $5 per player.  This will be discussed in the off season.  We may need to look at other options.

 

Coaches

·         Coaches Meeting – format, attendance – Bainter did a great job!  Great attendance, successful evening.  May need to look at more seating next year. 

·         First Aid- Must have a first aid person identified on the roster, the training provided by the GEJFA meets this requirement.

 

Jamborees

·         August 27 – Skyline having Jamboree at Skyline 10 to 3; Centennial Park 9-1:30; Interlake 12:30-9; Mercer Island 9 to 12..

·         September 3 – Bothell HS – Senior Jamboree 10:30; Pop Keeney 9 to 9; Eastlake 9-5

·        Officials – Bob is having a meeting tomorrow night with the officials to go over the Jamborees and coverage.  He will try to get officials to all of the jamborees.  They may not be able to stay for all of the games.  In the future if you want to secure the officials for the jamboree you may consider paying them.   This is training time for them.  If they attend one jamboree and a number of meetings, they can earn more money during the season. 

·        Bob is retiring this year and Courtney is training to take over for him.  He will be missed. 

 

Game schedule

·         Changes- The game schedule is being finalized.  One system may be dropping a team.  To avoid the last minute changes in the schedule, we may want to look at getting team counts earlier.  Don’t forget to talk to your neighboring systems to find out if they have too many kids or if they can assist with recruiting kids.  We are all in this together. – Schedule to post in one to two weeks.

·         Varsity byes vs PSYFA (Puget Sound Youth Football Association) 7th Grade team- In order to avoid a bye; Shawn is looking at securing some Varsity games outside of our system. 

·         Seniors – Eastside Catholic is recruiting from our systems, they then folded and now kids are looking for teams to play for.

·         Game scores by the Game Report – need them Saturday night/Sunday morning

·         Field Manager Job Description (posted on web site)-give a copy to the field managers.  This is a guideline for the job; you may need to revise it to fit your system.

 

Game Reports

·         Billie has done a lot of work on this - Please have coaches do a sample – test run for the jamboree.  They need to get used to doing the reports. This is very easy to do.

·         This is how scores get reported to the scoreboard data base.  This is now an automated system.  If the game scores are reported the same from both systems then it will be populated automatically on the website. If they don’t then it will need to be investigated further. 

·         It is very simple and takes only a few minutes.

·         Limited space for comments; use separate email if necessary. – 255 character limit.  Please use a separate email to continue if needed.  Please report scores on Saturday evening. 

·         If there is a protest or disqualification, John needs to be notified by Sunday to contact the grievance committee. 

 

Master Roster Review- this should have been completed.  Bring Master Roster for review and stamping to September 6 meeting or make another appointment at the Club before September 16.  All Master Rosters are to be stamped prior to Game 2, however, the failure to have them stamped is not something to be protested.  Report problems; they will be investigated.

 

Review

·         Huskies/Seahawks- Inglemoor has the husky game on Apple Cup, they have picked the sophomore level and they will be playing Woodinville Soph level.  The Seahawk games are still being worked on by John. 

·         If you are interested in going to the Seahawk game on  September 2, there are still some tickets available.  You can email erinc@seahawks.com for tickets.  We discussed that the Seahawks want the teams there really early, most systems not sure that it will work for most kids/parents/coaches.  

·         There is a mini scrimmage with teams from PSYFA (Tacoma) at Qwest Field on October 2; $5 fee per adult; this is a fund raiser for PSYFA which we are trying to get some share of (be able to sell our own tickets).  It is a lot of fun, 15 minutes on each side of the ball. Last Council meeting minutes have additional details.

·         Jersey colors (check the rules – let us know of any changes)- Woodinville has changed from green game pants to black. No other known issues.

 

Other Business – Woodinville is having field issues.  They are trying to repair the field.

 

If you have a home game that is not your own (two other systems playing a game on your field) you will be reimbursed for the game played on your field.   You are still responsible for paying for the field but you will be reimbursed at the end of the season, it is all kept on paper with GEJFA. 

 

Fighting will not be permitted, period.  The referees will kick out the kids that they see throw the punch.  Even if they are retaliating.  There is a zero tolerance.

We voted to allow the Seniors to play 5 quarters.  They have to be the last game of the day in order to do this.  All in favor – none opposed.  Motion passed.
