Minutes of the last meeting, August 8, were provided with the meeting agenda. Comments were requested to be emailed to John. If none received, then the minutes will be posted to the web site as they are.
Web site updates – Field Locations – Billie has made some additions to the list of fields. It would help if everyone checked the list and their particular site to ensure there are no problems.
Calendar review (upcoming important dates)
Ø Master roster and birth certificates, as well as transfers and waivers, were due at this Council meeting. However, since they do not need to be stamped until the Friday before Game #2, they can be brought in any time before then. Still, a master roster, stamped or unstamped must be in the possession of each head coach in case requested during roster exchange.
Ø Boys and Girls Club fees ($13 per player) are due at tonight’s meeting. Those who don’t have them in tonight will be dogged until they are turned in.
Ø Referee and Admin fees are due at the next meeting, September 15.
Unfortunately, the insurance handout was not provided at the Council meeting, but John said he would email it to everyone. Same summary sheet as before with a few updates.
Players
Ø Any missing transfer forms should be turned in ASAP
Ø A registration guideline was handed out for Systems to consider for next year. It is not too early to be planning for next years registration. Too many late inquiries indicate that the word about football registration may not be getting out to the community. Additionally, GEJFA web site will include a registration link for next year that should help to direct inquiries to the proper System.
Coaches
Ø Coaches Meeting – believe it was the best attended meeting. There were 250 handouts and all were gone. Comments that evening and after indicate that they liked the meeting and particularly the guest speaker, Coach Mike Roberts.
Ø Background checks – We need to have 100% on the background checks. Starting next week, we will be checking background checks against the team rosters. Coaches without a background check form on file will be suspended pending submission.
Ø First Aid – make sure each team has a first aid certified coach or other individual (who should be rostered) available.
Ø Some of the coaching reference books are still available.
Ø Team management – a handout was provided to assist coaches with team management.

Jamborees
Ø August 26 – Bellevue, Mercer Island, Mt Si, Skyline, Woodinville
Ø September 2 – Bothell (Pop Keeney), Eastlake, Seniors (Redmond)
Ø Officials – will try to have officials at each jamboree, but as long as they are volunteering their time (not paid), they will come at their convenience and cannot be assigned.
Ø October 8 jamboree with Tacoma B&G Club at Qwest Field – Shawn will take volunteer teams on a first-come-first-served basis. He read off the number of teams needed at each level. Players (also cheerleaders) and coaches and children under 12 are free, $5 for those over 12. We split the proceeds with the Tacoma B&G Club. There will be some Seahawks present and there may be other special speakers. There may also be a couple of high school games at the end of the day.

Ø Sophomore byes vs Tacoma B&G Club Fifth Grade team; also working on matchup for byes at the Rookie level
Ø Seniors – schedule is coming together, however, other programs are slow to respond. We have four Eighth Grader and under teams and four Ninth Grader and under teams.
Ø Game scores by the Game Report – need them Saturday night/Sunday morning
Ø Field Manager Job Description (posted on web site)
Game Reports --Billie has made some significant improvements; Billie again offered his assistance to anyone having problems with the reporting program. No one should have problems if they follow procedures; the biggest reason for reports being rejected is that coaches try to enter more than 255 characters in comment block – just cannot do that – send separate email if more space needed. We need System enforcement.
Review
Ø Huskies – may have been communication snafu but we didn’t get Huskies pre-game this year. Reportedly on the list for next year.
Ø Seahawks – Two of our 8th Grader teams – Skyline and Bellevue – are going to the August 31 Seahawk vs Oakland game.
Other Business – need to settle on Championship video provider. Discussed increasing production fee in favor of reducing the per DVD price. May have another video company make offer on producing these videos. Discussed the simplification of the video and audio.
